Three Steps to safeguard your company data

Most small business
owners use quickbooks, or another type of book keeping software, and what most
small businesses don't do is protect thier data. True story: I once did a
service call to a lady who owned a successful flower shop in a small town in
North Georgia. She was unable to boot her computer, and it was the
computer she ran Quickbooks on. While I was able to retrieve her data from
her badly crippled hard drive, that was just luck. The idea of losing all
of your book keeping due to a failure of one most common parts of your computer
to break (The hard drive) without any type of backup or data redundancy is
crazy!
Here are five steps to hopefully keep you out of her shoes, and on the
road to your small business dreams.
1. Backups!
Most people hate to do them, and so most people don't. It is
important however, and must be done in order to protect yourself. A weekly
backup should be done ALONG SIDE the other steps in this article to ensure you
never find yourself up late at night on the phone with me, trying to come up
with some way to get your data back. There are several programs available,
and if you need help selecting one, please email Lindsey Sampson, our Director
of On site service, and he will be glad to assist you with selecting the best
program for you.
2. RAID 1
Don't cringe when you hear an acronym you don't understand, just email
us, we are here to help. RAID 1 is about disk Mirroring. Pretend that your
harddrive is a file cabinet, and your files (quickbooks, word docs etc) are
actual files you put in your file cabinet (hard drive). Now, if you cant
get your filing cabinet to open, you cant get to your files. BUT, with
RAID 1, you have two filing cabiniets, so if one doesnt work, the other one
automatically jumps in front of it and starts working. You get a big error
message saying it failed, and you get the failed hard drive replaced, but you
lose nothing, your computer is protected. This is also highly overlooked
in the small business owner crowd, but very very valuable, and really not that
big a difference in price if you are shopping for new computers. We do not

3. AntiVirus
Almost everyone knows about virus', infact, most know it too well,
without going into it, there is a difference between virus', and spam, and
spyware, and trojan horses, and on and on and on, but virus' are the ones that
can really put your data at risk. They spread over networks, either by
email, or sometimes they can just float around the net. Some harmless,
some programed to do damage to infected computers. Not hard to prevent! A
good antivirus is the way to go, and this may shock you, you don't have to pay
for one. AVG Antivirus offers a free version of thier antivirus software
that is wonderful, I have been using it for years without a single problem.
Follow these three steps and you should find yourself sleeping better at night.
